Separate a specification from a claim
A product listing often combines dimensions, materials, performance claims and suggested use cases. Separate these before comparing items. A stated capacity is a different kind of information from a phrase such as premium quality.
Record the exact model or SKU, the source and the date checked. Keep the supplier wording alongside any simplified description so important qualifications are not lost.
Compare equivalent fields
Use the same units and definitions for each product. Product dimensions and packaging dimensions belong in separate fields. For a gift set, compare the complete contents list rather than only the box or headline photograph.
- Identify which part a material description refers to, such as a bottle interior or exterior.
- Keep capacity, weight and dimensions in separate fields with units.
- Distinguish included accessories from optional additions.
- Check whether colour and size information applies to the exact variant.
Keep performance qualifications visible
If a feature matters to the purchase, ask what supports it and under which conditions it applies. Keep words such as up to, recommended and subject to confirmation when they affect the meaning.
Do not turn a supplier description into a stronger promise. Spill-resistant does not mean leakproof, and a reusable format does not establish a broad environmental benefit. A sample can help assess appearance and handling; it is not a substitute for the relevant supporting documentation.
Record what remains unconfirmed
An empty field is better than an invented specification. Track missing information separately from facts confirmed by the supplier, documents you have checked and observations from a sample.
Use the unresolved list to prepare questions before approval. It may include care instructions, branding area, packaging contents, availability or the applicability of a performance claim to a particular finish.
Use the comparison to improve the brief
Choose the features that are essential to the use case and those that are preferences. This gives procurement a clearer basis for reviewing alternatives without assuming every product is equivalent.
Keep the reviewed specification with the artwork and final quotation. Recheck the source when the model, component, finish or supplier changes.
